FreeExcel + Google Sheets
The tuition and fees tracker
A spreadsheet for a small school’s whole year: tuition on a payment plan, every fee per student, sibling discounts and scholarships, rolled up into one balance per family. It’s what we’d use if we were running a school on spreadsheets today.
- Plan optionsType a family’s annual tuition, sibling discount and scholarship. It shows the net tuition and what each payment would be paid in full, in two payments, over 10 months or over 12, with the first and last due dates.
- FeesOne row per student, per fee: tuition, registration, re-enrollment, supply, technology, field trips, after care, lunch, uniforms. Gross amount, discount %, scholarship or credit, number of payments and first due date. Net amount, per-payment amount, balance, next due date and status fill themselves in.
- PaymentsLog each payment against a fee ID: date, amount, method (card, ACH, check, cash). Family and student fill in on their own, and the Fees tab totals them.
- Family balanceOne line per family: gross fees, discounts and aid, net, paid, balance, overdue, the next due date and amount, and paid in a calendar year for FSA and tax statements.
- ListsThe fee types and payment methods behind the dropdowns. Add your own, like “Spring gala” or “Late pickup”.
Comes with sample rows (three families, four students) so you can see the formulas work. Delete them and add your own. The XLSX opens in Excel, Numbers and Google Sheets (File → Import). There’s also a one-tab CSV for a quick start in Google Sheets.

When the spreadsheet gets too big
A tracker works for one classroom and one careful bookkeeper. Once you have 100 families on payment plans, siblings, scholarships and a field trip every month, it turns into a part-time job. That’s what Tuition Tab is for: the same idea, with payment plans, autopay and late-payment reminders built in.
